Listed healthcare company: from fragmented HubSpot to one connected platform

How we analysed a listed healthcare company's underused Enterprise HubSpot, consolidated their tool sprawl into it, and stayed on as their retained partner.

The result. A publicly listed healthcare company’s fragmented Enterprise HubSpot consolidated onto one connected platform, with five or more third-party tools retired, telephony and legacy systems brought in, and HubPilot retained as their ongoing partner.

The challenge

A publicly listed healthcare company was investing heavily in Enterprise HubSpot, but it had never been set up properly. Each department had adopted it in its own way, with nothing connected across the business. Because usage had never been standardised, they were also paying for a stack of separate tools to do jobs HubSpot could already handle: marketing mailouts, meeting booking, sales calls, social posting and their website were all running on third-party platforms. A significant licence was delivering a fraction of its value, sitting alongside a sprawl of overlapping subscriptions.

The approach

We started with an honest analysis of how HubSpot was actually being used across the business. That surfaced two sets of gaps: things the business should have been using HubSpot for and was not, and weaknesses in the existing HubSpot setup itself. We turned that into a plan and delivered it:

  • Built the system they actually needed, with new pipelines mapped to how each team really works.
  • Brought marketing campaigns, meeting scheduling and social into HubSpot, retiring the third-party tools that had been doing those jobs.
  • Integrated telephony so sales calls ran through the platform.
  • Built the reporting leadership needed to see the whole business in one place.
  • Migrated them off their legacy platforms into HubSpot.

Because our team has worked in senior commercial roles, as commercial directors, chiefs of staff and chief operating officers, the direction was operationally sound and not narrowly focused on the tool. The advice covered the business, not just HubSpot.

The outcome

Most of the business now runs through HubSpot, on one connected platform rather than a patchwork of disconnected tools. They retired a stack of third-party subscriptions, removed real cost and friction, and became a far more joined-up business, with workflows in place that they had not realised were possible. We are now retained as their ongoing HubSpot partner, on hand as their needs develop, and have begun a full website rebuild that adds a members area behind a login and a new content programme.
