Who we are
This website (hub-pilot.com) is operated by Siege One Limited, trading as HubPilot ("we", "us", "our"), an independent HubSpot consultancy registered in England and Wales (company number 17110871). Our registered office is at Angelica Avenue, Hitchin SG5 4HH. Siege One Limited is the data controller for the personal data described in this policy. You can reach us at hello@hub-pilot.com.
The personal data we collect
- Enquiry details. When you use our contact form we collect your name, email address, message and, if you provide it, your company name.
- Resource requests. If you request a download (such as our HubSpot health-check checklist) we collect your name, email address and, optionally, your company name.
- Technical data. When you submit a form we record the IP address and browser user-agent of the request. We use this only to prevent spam and abuse and to keep the form secure.
- Usage data. We measure how the site is used through privacy-friendly analytics. Cloudflare Web Analytics is cookieless and aggregated. With your consent, Microsoft Clarity records anonymised usage (heatmaps and session replays) and sets cookies. See our cookie policy for detail and how to control this.
We do not knowingly collect special category data. Please do not include sensitive personal information in your messages to us.
How and why we use it
- To respond to your enquiry and arrange a call.
- To provide the services or resources you ask for.
- To keep the website and our forms secure and free of spam.
- To understand how the site is used so we can improve it.
Our lawful bases under UK GDPR are legitimate interests (responding to enquiries you send us, and protecting the site) and consent (for non-essential analytics cookies, and for any marketing emails). Where we rely on consent you can withdraw it at any time.
Who we share it with
We do not sell your personal data. We use a small number of trusted processors who act on our instructions:
- Cloudflare — website hosting, delivery of contact-form messages (Email Routing), spam protection (Turnstile) and cookieless Web Analytics.
- Microsoft — Clarity product analytics (only after you consent).
- Google — contact-form enquiries are delivered to a Google (Gmail) inbox we monitor.
These providers may process data outside the UK. Where they do, the transfer is covered by appropriate safeguards such as UK adequacy regulations or standard contractual clauses.
How long we keep it
We keep enquiry and resource-request records only as long as needed for the purposes above, normally no more than 24 months, unless you ask us to delete them sooner. Analytics providers retain data according to their own standard retention periods.
Your rights
Under UK GDPR you have the right to access, rectify, erase, restrict or object to our processing of your personal data, and the right to data portability. To exercise any of these, email hello@hub-pilot.com. If you are unhappy with how we handle your data you can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this policy
We may update this policy from time to time. The current version will always be on this page, with the date it was last updated shown above.
